Digital innovation relieves loved ones

When a loved one passes away, next of kin are often immediately confronted with a flood of formalities. Amid the grieving process, there’s so much to arrange, not just the funeral, but a significant amount of paperwork. And not just with one organization, but with several, and often in a very specific order. Where do you even start? And how do you gain access to the deceased’s information? In many cases, family members have no idea where to find important data, or whether they’re authorized to access it.

“Together with our partner Schluss, we at Davinci Consulting saw clear opportunities to improve this process through digitalisation — by putting the individual at the center,” says Robert-Jan van Pelt, Program Manager of DIANA. “This led to a unique collaboration between a wide range of partners, and it will significantly ease the administrative burden for next of kin in the near future.”

Simplifying the handling of formalities

Together with various partners, we’re working on a solution that will make handling formalities after a person’s death significantly easier. This innovation ensures that important information is stored during one’s lifetime in a personal digital vault, with access authorized to a trusted person. After death, this trusted contact gains access to the vault and can handle the estate smoothly, step by step, and without unnecessary stress. Documents and data that a bank, notary, or funeral director may need, such as a death certificate or certificate of inheritance, are stored directly in the vault. When an organization needs certain information, it submits a data request to the vault manager. That person then only needs to give permission, rather than running around to collect paperwork from multiple sources. An added benefit: there’s always a clear overview of who can access what data, so the person managing the vault stays fully in control at all times.

Collaboration across the chain

Over the past year, Schluss, the RvIG (Dutch identity authority), KNB (Royal Dutch Association of Civil-law Notaries), de Volksbank, cooperative DELA, and Davinci Consulting have worked closely together to develop this innovative solution. Together, they mapped out the entire end-of-life process. By combining their expertise in technology, legal frameworks, user interfaces, data sovereignty, and security, the team created a clickable demo — which has already been tested with a range of users. The next step is to develop this flow into a working prototype, a technical proof of concept in which test data is exchanged between organizations (or their representative endpoints). What’s emerging is a unique chain-wide initiative that includes government bodies, notaries, banks, and insurers, with the customer and their loved ones right at the center.
